My Top 10 Tools for Staying ORganized

Running a business or working from home means juggling a lot of moving parts. These are the exact tools I personally use to stay organized, stay on top of follow-ups, and keep my back office running smoothly.

This list includes both the physical tools and simple systems I rely on to keep myself and my business on track.

Non Erasable Gel Ink

I swear by erasable pens partly because I’m a lefty, but mostly because scribbled-out words create visual clutter, and visual clutter = mental clutter.

I keep fun colors in rotation to mix things up, plus serious black, red, and blue when I need clarity or structure.

I also keep quick-dry gel ink pens (not erasable) in my bag as backups for meetings. They write smoothly, dry fast, and never smudge when I’m on the go!

Notebooks

I always choose smaller notebooks, not oversized ones. They’re less intimidating, easier to carry, and help keep notes intentional instead of sprawling. I prefer notebooks with the month and date at the top, so I can circle what applies and instantly keep track without flipping pages. It’s simple, but it makes staying organized much easier.

Weekly Tear-Off Sheets

I use weekly tear-off sheets and pre-fill the dates myself for the month ahead. This helps me take smaller, more manageable bites out of life and work. Seeing just one week at a time keeps things from feeling overwhelming while still keeping me focused.

 Paper Clips (Details Matter)

Oversized

I use black coated paper clips because they cover sharp metal edges and add a clean pop of color that’s easy to spot. Small detail, big difference, especially when you’re moving quickly.

I also use oversided as bookmarks so I included those as well!

 To Do List

My to-do lists live in a spiral book, double-sided and easy to fold over. It comes with 50 guided pages that divide the tasks between calls, emails, to do and to buy. Theres plenty of room on the other page for personal notes.



Monthly Folder

These blank monthly folders are great for holding checks, weekly tear off sheets and anything important to that month. These come undated and have the ability to write your full calendar on them.

 Client Folders

Each client has their own folder labeled with their name or business name.

Inside, I track all information related to our work together so it keeps conversations consistent and ensures nothing important slips through the cracks.

Binder Clips

Binder clips are one of my most-used tools. I use them inside notebooks and planners to divide sections and keep my place. I love that they come in different sizes and colors and wherever possible, I keep the colors on brand so everything feels cohesive.

Clipboards

I keep clipboards on my walls and in my file systems. They’re perfect for tracking referrals, cards I’ve mailed, and other important moving pieces. When things are visible, they actually get done.

 Clever Fox Wellness Planner

I use the Clever Fox Wellness Planner to track mindfulness, finances, wellness, and more. It helps me zoom out and see patterns instead of reacting day-to-day.
